1. Introduction

This Privacy Policy describes how Cogent Softwares (“we,” “us,” or “our”) collects, uses, discloses, and protects information when you use the Trial Room mobile application (“App”) and related services that connect to our backend API (for example trial-room-ws.cogentsoftwares.com).

Trial Room is designed for garment shops and ready-made clothing stores. It may include features such as account sign-in, product browsing, and AI-assisted virtual try-on using images you provide.

If you do not agree with this policy, please do not use the App. Where the App is used on behalf of a business (for example, a shop), that business may have its own notices or agreements with staff or customers.

2. Who we are

The data controller responsible for personal information processed through the App and our services is Cogent Softwares. For privacy-related requests, please contact us using the details in Contact below.

3. Information we collect

Depending on how you use Trial Room, we may collect or receive:

3.1 Account and authentication

  • Phone or email and OTP: if you sign in with a one-time passcode, we process the identifier you provide and related verification data needed to create and secure your session.
  • Google Sign-In: if you choose Google, we receive authentication data from Google (such as tokens) and basic profile information permitted by your Google account settings, as needed to create your session.
  • Session tokens: we issue and store tokens (for example, access and refresh tokens) to keep you signed in securely on your device.
  • Profile and shop context: information you or your organisation provides in the App, such as display name, role (for example customer, staff, or owner), and shop-related identifiers needed for the service.

3.2 Photos, camera, and try-on content

  • Images you capture or upload: when you use virtual try-on or similar features, the App may access your camera or photo library (only with the permissions you grant on your device) and send images or derived data to our servers for processing.
  • Outputs: we may store or display generated previews or results as part of the feature, according to product settings and your actions (for example saving a look).

3.3 Usage, device, and diagnostics

  • Device and technical data: such as device type, operating system version, app version, language, and network-related information needed to deliver the service and protect against abuse.
  • Logs and analytics: we may collect event logs or aggregated usage metrics to operate, secure, and improve the App.

3.4 Information from third parties

  • Google: when you use Google Sign-In, Google processes information under Google’s policies. See Google’s Privacy Policy.

4. How we use information

We use personal information to:

  • Provide, operate, and maintain the App and backend services;
  • Create and manage accounts and sessions, including OTP and Google sign-in;
  • Process virtual try-on requests and return results you request;
  • Communicate with you about the service, security, or policy updates where appropriate;
  • Detect, prevent, and investigate fraud, abuse, or security incidents;
  • Comply with legal obligations and enforce our terms;
  • Improve reliability, performance, and user experience (including aggregated or de-identified analysis where permitted).

6. Sharing and processors

We do not sell your personal information. We may share information with:

  • Service providers who assist us with hosting, infrastructure, email or SMS delivery, authentication, security monitoring, analytics, or customer support, bound by contractual confidentiality and processing terms;
  • Google for Google Sign-In, subject to your choices and Google’s terms;
  • Professional advisers (such as lawyers or auditors) where necessary;
  • Authorities when required by law or to protect rights, safety, and security.

7. Retention

We retain personal information only as long as needed for the purposes described in this policy, unless a longer period is required or permitted by law. Retention periods can depend on the type of data, whether you still have an account, and legal or security needs (for example backups or fraud prevention).

8. Security

We implement appropriate technical and organisational measures designed to protect personal information. No method of transmission or storage is completely secure; we encourage you to use device security features and keep your credentials confidential.

9. Your rights and choices

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal information, to object to certain processing, to data portability, and to lodge a complaint with a supervisory authority. You may also control certain permissions (camera, photos, notifications) through your device settings.

To exercise rights, contact us at the email in Contact. We may need to verify your request before responding.

10. Children

Trial Room is not directed at children under 16 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us and we will take appropriate steps.

11. International transfers

Our servers and service providers may be located in countries other than your own. Where we transfer personal information across borders, we use appropriate safeguards as required by applicable law (such as contractual clauses or equivalent mechanisms).

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date. If changes are material, we will provide additional notice where required by law (for example via the App or email).
